Apprentice Administrator- NCS Team

An exciting opportunity to join our NCS team!

Main Purpose of the Job:

  • To support administration for the National Citizen Service programme. This will include the input of young peoples’ expression of interest / Tell me more forms and the input of confirmed bookings on to databases.
  • To support the programme manager, Senior co-ordinators and associates with all administration, to ensure that the programme is a success.
  • To prepare material for recruitment events and programme delivery.
  • To be the first port of call for visitors and telephone enquiries.
  • To support the recruitment campaign to encourage young people to sign up for NCS.

Key Tasks and Responsibilities:

  • Input accurate and timely information on to the NCS database and other systems, accuracy is vital as payments are generated from the system.
  • To maintain efficient filing systems; both manual and electronic.
  • To provide ongoing support to the team; communicating important information to young people and parents via email, text and over the phone.
  • To produce materials including publications, leaflets, mailshots etc.
  • To ensure the whereabouts of team equipment are known at all times and that stock items are kept in sufficient quantities. Maintaining and monitoring stock levels of materials and equipment.
  • To be responsible for handling monies received from social actions project fundraising, including counting and recording. Ensuring all monies are allocated to the correct charities.
  • To take minutes in team meetings as and when required.
  • To carry out day to day administrative duties eg. laminating, franking, faxing, photocopying etc
  • To attend and support on programme events from time to time.
  • To carry out any other duties, consistent with the main purpose of the job, as may be specified from time to time.

NCS Lead Mentors, Mentors and Employer Volunteers

  • To work with the NCS team to prepare resources for the training and induction of Mentors who will be involved in the delivery of the NCS programme.
  • To prepare resources for the recruitment team including packs, fliers and all material needed for stalls and events.
  • To prepare resources for the delivery of programmes such as printing booklets and putting together activity resources.


  • To promote the health, safety and well-being of young people and ensure that all opportunities donated from various sources are judged from a safeguarding compliance perspective.
  • To carry out any other duties, consistent with the main purpose of the job, as may be specified from time to time.

Hours of work:

37.5 hours a week

Monday to Friday.  8:30am to 5pm.

Annual leave is to be arranged around peak times, avoiding May, June & July.
